Define daily sum limits for entertainment and gift expenses governed by entertainment policies. Specify rates for employee and nonemployee attendees to enforce daily limits per attendee for these expenses.

  • Use the entertainment policy to define single, daily or yearly limits that need to be enforced per attendee rather than on the total receipt amount.
  • The limits defined in the policy will be enforced per attendee only if the policy has rate determinants set up.
  • This policy can be associated only to entertainment policies.

To define daily limits for entertainment policies, you need one of these roles:

  • Expense Manager
  • Application Implementation Consultant
2.Allocation for Itemization Expenses

Allocate specific percentages or amounts to a project or expense account during the itemization of expenses. 

  • Any split allocation specified at the expense item level automatically applies to the itemization lines created for that expense item.
  • Employees can change the allocation by updating the split method or proportion for individual itemization lines.
  • Split allocation is not applicable for Personal expense itemization lines.

3.Detailed View of Audit Reasons by Expense in Expense Audit

View the audit reason for each expense item in the Audit Expense Report page. This helps auditors easily identify noncompliant expenses.

Users assigned with the Expense Auditor role can view this additional audit reason information during the expense report audit.

4.Enhancements to Create Report from Trips Process

You can configure the application to allow expense report creation from trips for corporate card employees, even if the card charges from the trip are not available in Expenses. 

Business Benefit:

This feature benefits companies that use a centrally billed card to book employees' travel, or that prepay employees' travel expenses. The application can automatically create expense reports from travel reservations prepaid by the company. This helps speed up the expense submission and promote faster reimbursements.

The filters on the Trips page help employees easily identify their upcoming trips, or those that are yet to be expensed. This helps them take the necessary action on the trips quickly.

To enable the new setting, you need one of these roles:

  • Travel Administrator
  • Application Implementation Consultant

5.Improved address selection for commute mileage
View enhanced search results when using maps to search for address locations during creation of mileage expenses.

6.Notification to employees when new corporate card charges arrive

Send email notifications to employees when new corporate card charges arrive in their Expenses work area. These notifications remind employees to review and submit corporate card charges in a timely manner.

Merchant Category Codes (MCC) and Standard Industrial Classification (SIC) codes are used to set up corporate card expense type mapping rules.

1.Payment method selection in cash advance request

Allow employees to select a cash advance payment method. This option allows employees to select their preferred payment method as part of the cash advance request process.

Administrators can enable this option using the Manage Cash Advances and Authorization Policies task. This option is configurable at the business unit level and thus can be enabled for all business units, or for individual business units.

Business benefit:

This gives employees the flexibility to select the payment method (such as Cash, Electronic, check etc.) through which they would like to get their Cash Advance credited to them

2.Waypoints in Audit and view expense report

View waypoints in routes for mileage expenses in the Audit Expense Report and the View Expense Report pages. This lets auditors and managers view the complete route information for mileage expenses and ensure compliance with regulations.

Auditors can review the interim stops of a mileage expense trip directly from the View Expense Item page by clicking the View Maps button.

23C:

1.Enforcement of limits for entertainment policies based on employee grade

Enforce single, daily and yearly limits for entertainment expenses based on employee grades. If multiple employee attendees are present at an entertainment, enforce limits based on each attendee's grade.

Administrators can enable this option using the Manage Policies by Expense Categories task.

  • Entertainment policies only support the creation of employee role-based rates for the role type Grade. The role types Job and Position are not supported.
  • You cannot reconfigure or update an existing policy to use the role type Grade as a rate determinant.
2.Expense Template and Payment Method Selection in Expense Mobile Application

Select an expense template during expense entry and select a payment method during expense report creation using the Expenses Mobile Application.

Business benefits include:

  1. Expense Template Selection: It allows users a choice of expense templates that they can use to create their expense. Prior to this, the template selection was in 'Settings' screen. Having the template in 'Add expense' screen improves discoverability and improves consistency with the web application.
  1. Payment Method Selection: Employees can now choose the payment method by which they wish to be reimbursed. This brings parity with the web application.

Expense Template Selection:

  1. Expense template selection was removed from the Settings screen.
  2. The default expense template is the last template selected.

Payment Method Selection:

  1. To make payment method selection available in the View report screen, a Financial Application Administrator must enable the Enable Payment Method option in the Manage Expense System Options task in "Functional Setup manager."

Employees can now withdraw a submitted expense report and resubmit it again. They can also resubmit an expense report rejected by approver(s) or returned by auditor and resubmit it again.

Touchless Expenses users benefit from real-time expense creation when they incur charges on a J.P. Morgan corporate card.

  • Reduced effort with real-time expense entry from J.P. Morgan corporate cards.
  • Increased productivity with guided assistance for expenses that require additional information.
  • Time saved with automatic submission of completed expenses.
  • Improved employee satisfaction with intuitive user interface that simplifies the employee expense reporting experience.

  • Touchless Expenses is enabled at the business unit level and can be turned on for specific users. It is possible to have some users on Touchless Expenses and other users on the existing Oracle expenses application.
  • If your company uses the delegation functionality, both the delegator and delegate must be on Touchless Expenses to continue using delegation.
  • The following functionality is not yet supported in Touchless Expenses: per diem, projects, cash advances, spend authorization, split allocation, trip itineraries, daily/monthly/yearly rate policies, and full key flexfield support.

To allow employees to use a mailing address for Expenses payments, complete these steps for each employee:

Sign in to Oracle Fusion Global Human Resources as a Human Resources specialist.
Navigate to the Person Management page, and search for the existing employee that you want.
Navigate to the Manage Employment page.
In the Expenses Information section, select Mail from the Expense Check Send-to Address choice list.

Business benefits include:

Improve employee satisfaction by allowing employees, who work overseas, to keep their home address in their home country for payroll payment and use a mailing address to receive Expenses payment. 
Reduce payment rejections where local bank regulations require the employee address to match the address registered in that specific country.

Tips And Considerations
The mailing address is only supported for expense report payments, not for cash advance payments.
This is not a self-service capability. Setup for each user is required by Human Resources specialist.
The mailing address can be used for either payment by check or electronic payment.

 Use reporting-only withholding taxes and withholding calculation formulas to develop complex tax scenarios and generate temporary tax results before calculating final withholding tax.

The new fields introduced are commonly used by many customers and require a significant amount of manual effort to update, when the number of tax rates uploaded is high. It offers an option to provide the values for these fields when creating tax rates using Tax Rapid Implementation.
  • Helps fulfill tax requirements of organizations with strict configuration access policies.
Tips And Considerations
  • The offset rates and the recovery rates referenced in these columns must already be created prior to uploading the spreadsheet. 
  • The recovery rate can be created using the Manage Tax Recovery Rates worksheet along with the tax rate in the same tax configuration workbook.

Auditors can use the new search parameter to filter out the expense reports that are pending response from the submitter. This helps save the auditors time, by providing a clear list of just those expense reports that they need to review and take action on.

Automatically extract expense attributes from expense receipts in multiple languages using the Document IO Agent. This feature is available exclusively for customers using Touchless Expenses with J.P. Morgan Corporate Cards.

This feature is exclusively available for customers using Touchless Expenses with J.P. Morgan Corporate Cards. This will help employees understand corporate policies prior to incurring business expenses and be aware of expense submission requirements.
